The Act respecting the protection of personal information in the private sector (the “Act”) governs, among other things, the collection, use, retention, protection, and destruction of personal information.
This Personal Information Protection and Privacy Policy (the “Policy”) is intended to ensure the protection of personal information and to govern how Telamont Technologies inc. (“Telamont”) collects, uses, discloses, retains, and destroys such information. In particular, the Policy explains how your personal information may be collected, used, or disclosed by Telamont through its website, its applications, and in the context of its relationships with its clients and suppliers.
By providing us with personal information, you agree that it will be handled in accordance with what is set out in the Policy.
1. Scope and definitions
This Policy applies to Telamont, including, in particular, its officers, employees, consultants, volunteers, directors, as well as any person or entity that provides services on behalf of Telamont. It also applies to Telamont’s website, as well as all websites controlled and maintained by Telamont.
It applies to all types of personal information held by Telamont, originating in particular from its current or potential clients, its consultants, its employees, its subcontractors, or any other persons (such as visitors to its websites or otherwise).
For the purposes hereof, “personal information” means any information that relates to a natural person and allows that person to be identified, or that, alone or in combination with other information, allows that person to be identified.
2. Information we collect
In the course of its activities, Telamont must collect certain personal information. This includes, in particular, the following information:
- Contact information (name, address, email address, or telephone number);
- Information relating to its clients or originating from them, or to which it may have access in the course of providing its services, and which meets the definition of personal information;
- Information required for billing such as a billing address, banking information, or payment system data;
- Information relating to marketing and communication preferences;
- Information relating to the use of its website, including technical information about visits, IP address, operating system, pages visited and requests, connection information, or any other information collected through cookies, log files, or other similar tools, in particular for service improvement and statistical purposes;
- Information relating to employee recruitment, such as résumés, professional or academic history, disciplinary, ethical, criminal, or penal records, and any other information relevant to potential recruitment;
- Information relating to employees for the purposes of entering into and performing their employment contract and complying with the various applicable employment laws, including information collected by Telamont for the employee file;
- Any other information necessary to comply with its legal, regulatory, or contractual obligations.
3. Purposes of collection, use and disclosure
Telamont documents the purposes for which personal information is collected. Telamont collects only the information necessary for those purposes.
In the course of its activities, Telamont may collect different types of information for different purposes, including, in particular, to:
- Initiate and maintain a relationship with the client, provide services, and fulfill its legal and contractual obligations, including project management and billing;
- Respond to a request for information;
- Collect information in connection with a program. Note that it is sometimes necessary to disclose the information provided to the relevant program;
- Register clients for events organized by Telamont;
- Determine the preferred language of communication;
- Register for Telamont’s newsletter and seminars;
- Ensure compliance with its legal, regulatory, and contractual obligations;
- Communicate with the persons concerned in connection with market studies, marketing, advertising and informational campaigns, or to evaluate customer service and the satisfaction of clients, employees, or any other person;
- Update, improve, and manage its databases, document management systems, and website;
- Develop, manage, and operate its business and activities;
- Recruit and review applications from prospective employees;
- Enter into and perform employment contracts with employees and comply with applicable employment laws and regulations;
- Detect errors, negligent acts, contractual breaches, fraud, theft, and other illegal activities, protect itself against them, and comply with its insurance obligations;
- Comply with its legal and regulatory obligations;
- Any other purpose necessary to Telamont’s activities and to which you have consented;
Telamont will also inform the persons concerned, at the time personal information is collected, of the purposes for which it is collected and the means of collection, in addition to any other information to be provided as required by the Act.
Telamont applies the following general principles regarding the collection, use, and disclosure of personal information:
Consent:
By providing us with personal information, through our website, by telephone, by email, in person, or by any other means, you consent to your personal information being collected, used, and disclosed in accordance with this Policy.
As a general rule, Telamont collects personal information directly from the person concerned and with that person’s consent, unless an exception is provided for by the Act. Consent may be implied in certain situations, for example when the person decides to provide their personal information after being informed by the Policy about the use and disclosure for the purposes indicated therein. The Policy and the information it contains may be consulted by the person concerned at the time personal information is collected.
As a general rule, Telamont obtains the consent of the person concerned before collecting their personal information from third parties and before disclosing it to third parties. However, Telamont may act without consent in certain cases provided for by the Act and under the conditions set out therein.
Collection:
In all cases, the collection of personal information is limited to what is necessary to fulfill the intended purpose.
Please note that Telamont’s services and programs are not intended for minors and, more generally, Telamont does not intentionally obtain personal information concerning minors (in such cases, the information cannot be collected from the minor without the consent of a parent or guardian).
Telamont may collect personal information from third parties. Unless an exception is provided for by law, Telamont will request the consent of the person concerned before collecting personal information about that person from a third party. Such collection through third parties may be necessary to use certain services or programs, or otherwise to do business with Telamont.
Retention and use:
Telamont ensures that the information it holds is up to date and accurate at the time it is used.Telamont may use a person’s personal information only for the reasons indicated herein or for any other reasons provided at the time of collection. If Telamont wishes to use such information for another reason or another purpose, new consent must be obtained from the person concerned, and such consent must be express if it concerns sensitive personal information. However, Telamont may use information for secondary purposes without the person’s consent under the conditions provided for by the Act.
Telamont implements measures to limit access to personal information to employees and persons within its organization who have a need to know such information and for whom such information is necessary in the performance of their duties.
Disclosure:
In the course of its activities, Telamont may disclose personal information to certain third parties for the purposes set out in Section 3 of the Policy. These third parties may include:
- Service providers in recruitment, payroll processing, insurance, employee benefits, disability, or other services necessary for entering into and performing the employment contract;
- Government and oversight authorities where applicable laws require it or where necessary for the provision of its services;
- Service providers for data hosting, billing, and online payments;
- Service providers relating to the use of its website and advertising strategy (hosting, security, cookies).
In the course of its activities and for the purposes set out in the Policy, Telamont may work with partners or third parties located outside Québec for the performance of certain contracts. As a result, certain personal information it holds may be transferred to another country and may be subject to the laws of that jurisdiction.
Telamont nevertheless ensures that it protects the personal information under its custody, including personal information entrusted to a third party, whether located in Canada or abroad.
Our personal information protection policies and practices require that a written undertaking be signed by such service provider to comply with its obligation to preserve the confidentiality and security of the personal information entrusted to it. This includes, in particular, implementing robust and effective security measures, as well as a prohibition on disclosing the personal information to others.
4. Privacy Impact Assessment (PIA)
A PIA is a preventive approach intended to better protect personal information and respect individuals’ privacy. It consists of considering factors likely to have positive or negative consequences on the privacy of the persons concerned. Conducting a PIA makes it possible to demonstrate that Telamont has complied with all of its obligations regarding the protection of personal information and that all measures have been taken to effectively protect such information.
Telamont conducts a PIA, including in the following situations:
- Before undertaking a project to acquire, develop, or redesign an information system or to provide electronic services involving personal information;
- Before disclosing personal information outside Québec.
When conducting a PIA, Telamont considers, in particular, the sensitivity of the personal information concerned, the purposes for which it is used, its quantity, distribution, and the medium on which it is found, as well as the measures proposed to protect personal information.
5. Retention and destruction of personal information
Except where a minimum retention period is required by law or applicable regulation, Telamont will retain personal information only for as long as necessary to achieve the purposes for which it was collected.
At the end of the retention period, or when the personal information is no longer necessary, Telamont will ensure that it is destroyed.
Telamont destroys personal information securely to ensure its protection.
6. Website
For the purposes of our activities, we operate a website. The personal information we collect on https://telamont.com is collected, among other things, to respond to your requests, for example when you provide your name, email, or address in the form provided for that purpose in the “Contact” section of the website.
Use of cookies
A cookie is a small data file created by your browser and placed on your computer, mobile device, tablet, or other device when you use your browser to visit an online service. Cookies allow websites to remember certain information about you to facilitate your access and browsing within our sites. Cookies can be read only by the website that sends them to your computer.
We use certain cookies on our website, including to:
- Remember your settings and preferences, such as your province or language;
- Produce statistical compilations (page popularity, average number of pages visited, and average time each user spends on the site) in order to improve our services;
- Analyze our performance, including to learn more about the features appreciated by our users and those that may require adjustments;
- Analyze the effectiveness of our advertising strategy and implement remarketing tracking and tailored ads.
Please note that the use of cookies only allows us to identify you as a user and does not recognize you by your name or address.
It is possible to prevent personalization features on our website by disabling cookies in your browser. You can do so by changing your browser or mobile device settings.
However, if you choose to refuse cookies, some pages or sections of our website may not display properly and certain features may not be available.
Use of Google Analytics
Telamont uses Google Analytics to analyze the browsing behavior of visitors to its website in order to allow its continuous improvement. Google Analytics makes it possible, among other things, to analyze how a visitor interacts with a website. Google Analytics uses cookies to generate statistical reports on visitor behavior and viewed content. By using this tool, Telamont may obtain the following information:
- Number of visitors to the site;
- Browser type, language, and operating system used;
- Screen resolution;
- Name of the service provider;
- Date, time, and duration of visits;
- Country/province from which the site is accessed;
- Age/gender;
- Pages viewed;
- Source (origin) of traffic;
- Interests;
- Search terms within the website (search fields).
The information collected by Google Analytics is used to analyze the use of Telamont’s website and to produce statistical reports on visitor activities. The information is processed by Google as a service provider acting on our behalf. We do not sell this data and do not disclose it to other third parties for marketing purposes.

Other technological means used
If Telamont collects personal information by offering a product or technological service that includes privacy settings, Telamont must ensure that those settings provide the highest level of privacy by default (connection cookies are not covered).
It is important to understand that this Policy does not apply to other third-party websites that may be accessed through links on our website. We are not responsible for third-party sites, their content, or access to them. Consequently, any personal information you transmit through those sites is subject to their privacy policy. It is your responsibility to review it to ensure the protection of your personal information.
7. Telamont's responsibility
Under applicable laws, Telamont is responsible for the protection of the personal information it holds or controls.
Telamont’s person in charge of the protection of personal information is the President of the organization. In general, this person must ensure compliance with applicable legislation regarding the protection of personal information. The person in charge must approve policies and practices governing personal information governance. More specifically, this person is responsible for implementing the Policy and ensuring that it is known, understood, and applied. In the absence or inability to act of this person in charge, Telamont’s Chief Technology Officer will perform the functions of the person in charge of the protection of personal information.
Telamont staff members who have access to personal information or are otherwise involved in managing it must ensure its protection and comply with the Policy. The roles and responsibilities of Telamont employees throughout the life cycle of personal information may be specified by any other Telamont policy on the subject, as applicable.
To protect your personal information, we have implemented internal policies, practices, and procedures relating to the management of personal information we hold.
These govern the collection, use, disclosure, retention, and destruction of personal information, as well as complaint handling and information security. They also provide the framework for conducting privacy impact assessments and for preventing and responding to potential confidentiality incidents.
In addition, Telamont ensures that its personnel complete the required training and awareness activities to ensure the protection of personal information.
8. Disclaimer of liability
Despite the measures implemented by Telamont under the Policy, Telamont cannot guarantee the absolute security of personal information disclosed to it. Accordingly, in the absence of fault on Telamont’s part, Telamont cannot be held liable for any damage that may be suffered in connection with the disclosure of personal information to it, including damage that may be caused by a third party.
By disclosing personal information to Telamont, you acknowledge that Telamont exercises no control over third parties authorized to collect such information, which may include, among others, your employees, subcontractors, clients, and others. Accordingly, Telamont cannot under any circumstances be held liable for their failure to comply with applicable laws, including by its service providers.
By disclosing personal information to Telamont, you warrant to Telamont that you have obtained all consents required for Telamont’s intended use, and therefore that you are authorized to disclose such information to Telamont for the required purposes. In doing so, you also undertake to indemnify and hold Telamont harmless and to defend Telamont in connection with any action, complaint, or claim that a third party may assert against Telamont in relation to the personal information you disclosed to it, including, in particular, information concerning your employees, subcontractors, clients, and others.
9. Data security
Telamont implements reasonable security measures to ensure the protection of the personal information it holds.
10. Procedures for managing and notifying incidents
Any confidentiality incident is handled in accordance with the Confidentiality Incident Management Policy.
In accordance with the Act, Telamont maintains an up-to-date register of confidentiality incidents.
If the confidentiality incident presents a risk of serious harm to the persons concerned, Telamont must notify them as soon as possible, as well as the Commission d’accès à l’information.
11. Updating personal information
By disclosing personal information to us, you undertake to notify us of any changes to it. Such notice may be sent to our person in charge of the protection of personal information.
To ensure that we can carry out our activities properly, we also take reasonable measures to ensure that your personal information is accurate, complete, and up to date over time. We may ask you from time to time to update your personal information, your contact details, or your preferences, and each publication, invitation, and notice includes an option—either by link or on paper copy—allowing you to refuse to receive them in the future.
12. Rights relating to personal information and complaint handling process
Right to access, rectify, withdraw consent and de-indexing
Subject to applicable laws and regulations, persons who wish to consult, correct, withdraw their consent, or request the de-indexing of their personal information appearing in our records may submit a written request directly to our person in charge of the protection of personal information at the following contact information:

Subject to applicable legal and contractual restrictions, the persons concerned may request access to their personal information held by Telamont and/or correction where it is inaccurate, incomplete, or ambiguous. They may also require that dissemination of personal information concerning them cease or that any hyperlink attached to their name allowing access to such information by technological means be de-indexed, where dissemination of that information contravenes the law or a court order. Where the Act allows, they may require that the hyperlink allowing access to such information be re-indexed. The persons concerned may also withdraw their consent to the disclosure or use of collected information.
Our person in charge of the protection of personal information must respond in writing to any request of this nature within thirty (30) days of its receipt. Any response refusing the request must be reasoned and accompanied by the legal provisions justifying the refusal. In such case, the response must also indicate the remedies provided for under the Act in such matters and the time limit to exercise them.

Complaint handling
Any person who wishes to file a complaint under the Policy or, more generally, regarding the protection of their personal information by Telamont must do so in writing by contacting Telamont’s person in charge of the protection of personal information at the email address indicated above.
The person must indicate their name, contact details to reach them, including a telephone number, as well as the subject and reasons for the complaint, providing sufficient details for Telamont to assess it. If the complaint is not sufficiently precise, the person in charge of the protection of personal information may request any additional information deemed necessary to assess the complaint.
Telamont undertakes to treat any complaint received confidentially.
Within 30 days following receipt of the complaint or following receipt of all additional information deemed necessary and required by Telamont’s person in charge of the protection of personal information to process it, the person in charge must assess it and provide a reasoned written response by email to the complainant. This assessment will aim to determine whether Telamont’s handling of personal information complies with the Policy, any other policy and practice in place within the organization, and applicable legislation or regulation.
If the complaint cannot be processed within that time frame, the complainant must be informed of the reasons justifying any extension, the status of the complaint processing, and the reasonable time required to provide a final response.
Telamont must create a separate file for each complaint addressed to it. Each file contains the complaint, the analysis and supporting documentation for its assessment, and the response sent to the person who filed the complaint.
It is also possible to file a complaint with the Commission d’accès à l’information du Québec or any other oversight body responsible for enforcing the law applicable to the subject matter of the complaint.
However, Telamont invites any interested person to first contact its person in charge of the protection of personal information and to wait until Telamont’s complaint-handling process is completed before taking any other steps.

14. Sanctions
Telamont personnel must comply with the Policy as well as any other directive, procedure, or policy on the same subject. Any employee who fails to comply is subject to disciplinary measures up to and including dismissal. If we must disclose personal information to third parties under the Policy, including consultants, service providers, or others, we will take reasonable measures to ensure compliance with the Policy.
15. Publications and amendments
The Policy, including any amendments that may be made to it, is published on Telamont’s website, as well as on all websites controlled and maintained by Telamont, which are subject to the Policy.
Telamont may amend or supplement this Policy at any time.
